    This Privacy Policy should be read together with the Intelligence Lens Terms of Use and any additional privacy notices shown within a particular Service.

    4. Roles of Intelligence Lens and Client Organisations

    4.1 Intelligence Lens as Platform Operator

    Intelligence Lens determines how certain information is processed for purposes such as:

    • Account creation

    • Authentication

    • Platform security

    • Service administration

    • Credential issuance and verification

    • Alumni engagement and event participation management

    • Technical support

    • Service analytics

    • Fraud and abuse prevention

    • Platform improvement

    • Compliance

    • AI-assisted functionality operated by Intelligence Lens

    For these purposes, Intelligence Lens generally determines the purposes and means of processing, subject to applicable law.

    4.2 Apply Client Organisations

    Apply enables independent organisations, institutions, academies, trainers and other users to create and manage application or registration portals.

    A client organisation generally determines:

    • What information applicants are asked to provide

    • Which documents are required

    • Eligibility criteria

    • Application questions

    • Application deadlines

    • Evaluation processes

    • Selection decisions

    • Retention requirements associated with its own applications

    Depending on the applicable law and circumstances, a client organisation may act as an independent data controller or equivalent responsible party for application data submitted to it, while Intelligence Lens may process that data on its behalf as the technology platform provider.

    Nothing in this Policy transfers the client organisation's responsibilities to Intelligence Lens.

    5. Information We May Collect

    5.1 Account and Identity Information

    When you create or manage an account, we may collect:

    • Name

    • Email address

    • Phone number

    • Country

    • Profile photograph

    • Account type

    • Preferred language

    • Authentication information

    Passwords are processed securely and are not stored in readable form.

    6. Google Sign-In and Google User Data

    If you choose to create or access an Intelligence Lens account using Google Sign-In, Google may provide information that you authorise us to receive.

    • Basic profile information associated with authentication

    We use this information to:

    • Authenticate you

    Using Google Sign-In does not, by itself, give Intelligence Lens access to your:

    If a future Intelligence Lens feature requests access to additional Google data or permissions, we will provide appropriate disclosures and request authorisation before accessing that additional information.

    Our use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including applicable Limited Use requirements.

    We do not request Google permissions merely for possible future functionality.

    7. Apply Applicant Information

    Apply allows applicants and account holders to create and manage information used in applications.

    This may include:

    • Name

    • Contact information

    • Date of birth

    • Address

    • Nationality

    • Country of residence

    • Identity information

    • Education history

    • Employment or experience history

    • Qualifications

    • Parent or guardian information

    • Emergency contact information

    • Application responses

    • Eligibility information

    The specific information collected in an application is generally determined by the relevant client organisation.

    8. Reusable Applicant Profiles

    Apply may allow users to create reusable profiles containing information that can be used across multiple applications.

    A reusable profile may include:

    • Personal details

    • Education

    • Employment history

    • Address information

    • Contact details

    • Reusable documents

    • Guardian or dependant information

    • Other saved profile information

    Reusable profile information remains separate from individual application submissions.

    Client organisations do not automatically receive access to the complete reusable profile.

    A client organisation should receive only information that:

    • The applicant chooses to include in an application

    • Is required for that application

    • Is actually submitted to that organisation

    Information contained in applications submitted to other organisations is not automatically visible to another client organisation.

    9. Representational and Dependant Profiles

    An account holder may, where supported, create or manage an applicant profile for:

    • A child

    • A dependant

    • Another individual whom the account holder is authorised to represent

    The account holder is responsible for ensuring that they have appropriate authority to provide and manage information on behalf of that individual.

    Client organisations receive only the information submitted through the relevant application.

    10. Application Snapshots and Submitted Records

    When an application is submitted, Apply may create a snapshot of the information submitted at that time.

    This protects the integrity of the application by ensuring that later changes to a reusable profile do not silently modify a previously submitted application.

    Submitted records may include:

    • Application answers

    • Applicant profile information included in the submission

    • Documents

    • Declarations

    • Consent records

    • Submission timestamp

    • Application reference

    • Status history

    • Communications

    • Subsequent authorised corrections

    Changes requested or authorised after submission may be recorded in the application's history.

    11. Uploaded Documents and Files

    Depending on the Service, users may upload files including:

    • Photographs

    • Identity documents

    • Passports

    • Birth certificates

    • Certificates

    • Transcripts

    • CVs or résumés

    • Experience records

    • Recommendation letters

    Users and client organisations should collect and upload only information reasonably necessary for the intended purpose.

    Where supported technically, access to private documents may be restricted using authentication, permissions, private storage or temporary access links.

    Organisations and professionals using Intelligence Lens Services may provide information including:

    • Email address

    • Organisation description

    • Logo

    • Cover image

    • Branding

    • Social links

    • Programme information

    • Forms

    • Application requirements

    • Uploaded brochures

    • Team information

    • Portal settings

    • Communication templates

    Some of this information may intentionally be displayed publicly on an organisation's Apply portal.

    13. Learning, Assessment and Credential Data

    Where you participate in an Intelligence Lens credential, assessment, course or capability-building programme, we may process information such as:

    • Registration information

    • Programme participation

    • Learning progress

    • Assessment responses

    • Scores

    • Results

    • Completion status

    • Credential level

    • Credential identifier

    • Credential status

    • Issuance date

    • Verification status

    • Learning activity

    • Cohort or programme association

    Some credential information may be made publicly verifiable through a credential verification page or identifier.

    14. Credential Verification Records

    Credentials form part of a permanent integrity system.

    Important: Intelligence Lens may not allow deletion of submitted applications, credentials, or ongoing assessment records where they form part of official, academic, or verification history.

    This is necessary to prevent fraud, misrepresentation, and false claims such as submitting an application and later denying its existence.

    However, where legally required, we will comply with applicable rights and restrictions.

    15. Alumni and Completed Learner Records

    Completion of a programme does not necessarily end all legitimate processing of a learner's information.

    Subject to applicable law, Intelligence Lens may retain limited alumni or completed-participant information for purposes such as:

    • Credential verification

    • Programme records

    • Cohort history

    • Alumni identification

    • Issuance history

    • Programme impact reporting

    • Fraud prevention

    • Support

    • Future verification requests

    • Maintaining institutional learning records

    Where alumni communications or communities are offered, users may be given choices regarding participation and promotional communications.

    Opting out of alumni communications does not necessarily require deletion of core credential, completion or verification records where continued retention is lawful and reasonably necessary.

    Some Intelligence Lens Services use artificial intelligence to assist users with tasks such as:

    AI-generated outputs may contain inaccuracies or inappropriate suggestions and should be reviewed before use.

    Client organisations remain responsible for their own application, admission, registration, selection and similar decisions.

    If Intelligence Lens introduces automated decision-making that produces legal or similarly significant effects, additional disclosures and safeguards may be provided where required by applicable law.

    22. How Information May Be Shared

    Personal information may be shared where reasonably necessary with:

    Client Organisations

    When an applicant intentionally submits information to a client organisation through Apply.

    Service Providers

    With providers supporting:

    • Cloud hosting

    • Databases

    • Storage

    • Authentication

    • Email

    • Communications

    • AI functionality

    • Monitoring

    • Analytics

    • Security

    • Customer support

    • Infrastructure

    Professional Advisers

    Closing an Intelligence Lens applicant account does not automatically require a client organisation to delete its own legitimate application records.

    31. Children and Young People

    Some Intelligence Lens Services may involve children or young people, including AIQ Young Minds and applications submitted for minors through Apply.

    Where required, participation may involve:

    • A parent

    • A guardian

    • A school

    • An educational institution

    • Another authorised adult

    An adult creating or managing information for a child or dependant confirms that they have appropriate authority to do so.

    Client organisations using Apply are responsible for ensuring that their own application processes involving minors are lawful and appropriate.

    Intelligence Lens may introduce age checks, parental controls or additional consent mechanisms where appropriate.

    We seek to avoid unnecessary collection and retention of children's personal information.

    32. Marketing Communications

    Where Intelligence Lens sends optional marketing or promotional communications, users may be given an opportunity to unsubscribe or change communication preferences.

    Unsubscribing from marketing does not prevent necessary service communications such as:

    • Password resets

    • Security notices

    • Application updates

    • Credential notices

    • Important account information

    33. Cookies and Similar Technologies
